Who this notice is for
This notice is for parents and guardians applying for, or participating in, Homeschool Hangouts. The club is an online social programme for Australian homeschooled children and teenagers aged 8-18. A parent or guardian completes an application for each child.
What we collect
Our application form may ask for:
- Parent or guardian name and email address
- An emergency contact phone number
- Child’s name, preferred name and age
- Suburb and state or territory
- Interests, availability and group preferences
- Optional information about what helps your child feel comfortable in a group
- Information about siblings who are also applying
As the programme runs, we may also keep records of group assignments, communications with parents, payments, attendance and concerns relating to children’s safety or wellbeing. Please share only information that helps us support your child. You do not need to provide a diagnosis or personal health history in the optional form fields.
How we use it
We use this information to review applications, organise suitable groups, communicate with parents, manage Zoom sessions, track payments and attendance, and respond to safeguarding concerns. We do not sell your information or use it for unrelated marketing.
Where it is kept and who can see it
Applications and programme records are stored privately in Notion. Only authorised organisers can access them. Children’s application details are not published on this website. Other families do not receive your child’s private application information.
Service providers may process information needed to run the programme. These include Notion for applications and records, Zoom for live sessions, and payment providers such as Stripe for invoicing and payment. Their systems may store or process information in locations outside Australia. We share only what is reasonably needed for the service.
Sessions and communication
Zoom sessions are not recorded by Homeschool Hangouts. Participants and families must not record or screenshot sessions without permission. We communicate about applications, offers and session matters with parents or guardians, not through private messages with children.
How long we keep information
We keep information only for as long as reasonably necessary for the purposes described here and any applicable recordkeeping or safeguarding obligations. We review what we hold and remove information when it is no longer needed.
Your choices and requests
Parents and guardians can ask to access, correct or delete their own or their child’s information. Some records may need to be kept for legitimate recordkeeping or safeguarding reasons. We’ll explain if that applies to a request.
